General Group Booking Terms
By making a group reservation through Hostelworld.com you agree to the following terms and conditions as set by Hostelworld.com and as set by the hostel in question.
- In order to make a group reservation on Hostelworld.com it is necessary to pay a deposit. The balance is due directly to the hostel according to their payment conditions.
- The booking deposit is non-refundable.
- Please note that any cancellations must be notified directly to the hostel at least 24 hours in advance of your scheduled arrival date, unless otherwise stated in the hostel's conditions.
- Hostelworld.com are not responsible for changes or amendments to your reservation once it has been processed. All correspondence with regard to changes to your booking need to be dealt with directly with the hostel.
- Cancellations for reservations must be made directly with the hostel and must conform with the individual hostels cancellation policy (see below)
- It is your responsibility to pay the balance of your accommodation cost to the hostel in accordance with their payment conditions (see below). Failure to do so may result in your reservation being cancelled by the hostel.
- Individual hostels may have special booking conditions relating to group stays, please read the hostel booking conditions carefully before making your reservation.
Hostel Specific Terms & Conditions
The remainder of the amount due will be charged to your credit card 4 weeks prior to arrival. Should numbers or room selection change, the per person deposit times the number of people who actually travelled will be deducted from the total accommodation charge levvied by the hostel.
Cancellation / No Show & Reduction in Numbers Policy
Cancellation / Reduction Penalties:
• Cancellation of a confirmed Group MUST be done 90 to 60 days prior to the arrival date.
• If the group bookings are cancelled within the above period a FULL refund will be given
• If the group is cancelled within 60 to 30 days prior to the arrival date the total amount of the deposit is non-refundable (forfeited).
• No show and late cancellation reservations, full cost will be applied.
• Should the number of rooms be reduced to less than 10 rooms, regular rooms rates will be applied, group incentives and offers will NOT be applied.
Additional Terms and Conditions
When you book a stay at Bay Gardens Resorts (The Bay Gardens Inn, The Bay Gardens Hotel or The Bay Gardens Beach Resort & Spa) you accept responsibility for the proper conduct for yourself and your party. This includes:
• A credit card deposit of US$200.00 per room will be collected at time of check-in which will be returned at check-out subject to settling of outstanding incidental charges and final room checks but may be retained to cover costs of additional room cleaning.
• Being respectful to Staff and other guests who may or may not be part of your group.
• Adhering to our dress code in Restaurants: At Breakfast & Lunch, casual t-shirts with sleeves and regular shorts for men, modest wraps for ladies. At Dinner, smart casual attire (collared shirts, long trousers or tailored shorts for men).
• Restaurant food can only be consumed in restaurant and cannot be taken outside or to guest rooms.
• Guests are not permitted to bring non-residents in to the hotel or on to the grounds without reporting to Reception and purchasing Day Passes.
• Smoking is permitted only in outdoor designated areas and not in rooms, on balconies or enclosed areas.
• Use of illegal substances will be reported to the authorities immediately.
If we or any other person in authority at the hotel is of the reasonable opinion that you or any member of your party is behaving in such a way as to cause or be likely to cause danger or upset to any other person or damage to property, we will be entitled to terminate the stay of the person(s) concerned. The person(s) concerned will be required to leave the accommodation and we will have no further responsibility to them including any return travel arrangements. No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination. You will be responsible for making full payment for any damage or loss caused by you or any member of your party during your stay. Payment must be paid direct at the time failing which, you will be responsible for meeting any claims subsequently made against us (together with our own and the other party’s full legal costs) as a result of your actions.
• 25% of total room cost is required upon confirmation of a definite group block to secure the rooms. The deposit MUST be received no later than two weeks after confirmation is received.
• 25% of the remaining balance two months prior to the arrival date
• The balance payable one month prior to the arrival date at the property.
Any cancellations resulting from agreement to these terms and conditions under false pretences will result in loss of deposit.

Check in from 16:00 to 23:00.
Check out before 11:00.

This property may pre-authorise your card before arrival.
Taxes not included - 10.00%
Taxes not included - occupancy tax 10.00 % per room per night
Breakfast not included.
24 hours Reception.
